There were two main reasons for the long throughput times of the invoices at ISS Switzerland: firstly, the decentralized incoming mail systems in more than twelve branches and at head office and, secondly, the fact that the account allocation and authorization of the invoices was spread throughout the entire company. The result of this process: lack of financial transparency, lost invoices, long processing times and a lack of knowledge about the current status of all supplier claims in the company’s possession.
ISS Switzerland therefore launched a joint project with Interact Consulting in July 2005, in order to reorganize the processing operation of the accounts payable invoices and accelerate the processes. The stated objectives of ISS were to increase transparency, to eliminate the internal circulation of paper documents and to be able to absorb future increases in volume without expanding staff.
The decentralized receipt of invoices is a thing of the past. Today, over 35,000 invoices with a total of 70,000 pages are scanned in every year by more than 2,500 suppliers at two central workplaces. ISS now files the invoices in the paper archive right after they have been scanned in and sorts them by scan date only. Thanks to electronic image and data management, quick access to the scanned copy and also to the original invoice is possible at any time.
